The Fastest & Most Efficient Way to Upgrade Your ERP System

The easybaan full migration is a flexible migration method, with the ability to migrate from

  • TRITON3.x
  • BaanIVb
  • BaanIVc 
  • BaanERP 50b
  • BaanERP 50c or any Service Pack

 to Infor 10 ERP Enterprise or any Feature Pack.

While the easybaan® workshop migration is a more or less packaged product, a full migration is more customized, requiring consultants‘ expertise and experience.

Even though a full migration can be packaged and prepared as a fixed product, most customers considering switching to Infor 10 ERP Enterprise have special requirements for reworking the data. This might be the exclusion of old historical data which is no longer needed,  data conversion to new coding, up to completely changing the way to work in Infor 10 ERP Enterprise. This can be switching from lot control to serial number tracking or changing from element-based-costing to activity-based-costing in TP-Project.

 

 

 

 

 

 

Usually customers consider switching to ERP LN after working with the Legacy Baan system for         10 +years. In this long period, many ideas for  improvement could have been gathered. It would be a missed opportunity to change to a new system and waste the new system’s potential by implementing old data structures and old business processes.

The main difference between our Migration methodology and others‘ is the unique easybaan concept and approach. The idea is to transfer knowledge of the new ER PLN version to the users as soon as possible.

 

 

 

 

 

 

Typical migration methods are based on a step-by-step method. This means that a training phase is done prior to data migration and implementation. After that, the functionalities of ERP LN are investigated and discussed in workshops.

A golden company with master data is then set up step-by-step. After a period of several weeks, or depending on the size of the project, maybe months later, the first business processes are available.

This increases the risk of project failures since potential risks or incompatibilities of the new software with the organization or lack of required skills will be discovered after a good portion of the budget is spent.

 

 

 

 

The easybaan® approach is different from the existing market trends. The training of the new version will be held on an existing, fully-prepared easybaan company in ERP LN. Fully-prepared means a dataset that covers logistics and finance, and a fully-integrated interface to finance including controlling and margin control. In the very early stages of the implementation, the user can explore what is new and how the enhanced software can be used efficiently.

 

In parallel with using the EWM (easybaan Workshop Migration), a dataset with the customer’s data is produced to provide used and well known data of the BaanIV / BanERP environment. This makes it much easier to become familiar with the new software when exploring the new functionalities.

 

 

 

 

 

To ensure 100% satisfaction with the new dataset, a business case is set up to define all  customer requirements; this will be the goal. Together with experienced  consultants, the maximum benefits will be achieved if a business case with premigrated data is developed, fulfilling all of the customer’s requirements to the new version.

If the client was able to define his individual requirements, the migration tool has to be set up accordingly, and the project can progress to the next phase, including the previous improvements and data cleaning.

 

 

 

 

 

 

 

To provide this full

migration, the EFM (easybaan Full Migration) tools go in place and get customized because of found requirements relative to the business. The case data is converted from BaanIV to ERP LN.

The EFM – Tools provide error-free data conversion from BaanIV and BaanERP to ERP LN. Source Systems can be of any service pack from SP3 up to the latest version. Target systems can be of any Feature Pack from FP3 to the latest version.

The migration project is divided into several steps and every step has a clear defined goal.

Installation

Installation

In the first phase the tools needed for the migration project will be installed. These will be the easybaan company, the data migration tools and the Report Tuner.

Basic Migration

Basic Migration

In this first step, a first easybaan® migration is deployed to provide a modeling environment for later project phases. Tyco data is migrated into an easybaan® company in Infor 10 ERP Enterprise. This data will be the logistics and financial tables, customer data, supplier data, addresses, items, bills of material and warehouses. After this step has been completed successfully an environment is available for setting up the Business Case.

Fundamental Training

During this step the project team of key users will get an overview of the new Infor 10 ERP Enterprise system. This will cover the handling and navigation in the system and the functioning of the new modules.

LN Training

LN Training

One of the most important steps in the entire project is the business case study in Infor 10 ERP Enterprise. Therefore, the project team of key users must become skilled and experienced users of Infor 10 ERP Enterprise. In order for the users to get to that stage an intensive training of the new and reengineered processes must take place in order to gain the maximum yield of the capabilities and the potential from the business case.  The LN training in this early phase of the project is performed with a data set in the easybaan® company in Infor 10 ERP Enterprise.

We will provide a case study by using the same packages and modules that are used in BAANIV today. After every chapter, we handout training materials that enable the users to practice until the consultants arrive the next time to start with the business case.

In this phase, the Tyco project team members will have to explain what business requirements will be important for Tyco.

Please prepare for this part of the project, a Case Catalogue with the processes:

  1. That are important to Tyco for the daily operations
  2. That are specific to Tyco or the line of business that Tyco is working in
  3. That not have been solved until now to the complete satisfaction for Tyco but should be available in the future IT solution

Business Case

In this phase, we set up a case study where the important and specific cases of Tyco will be simulated in a reduced case study. From our experience, it is not needed to work with 6.000 suppliers to create a model to simulate the Tyco business. Most likely, the different cases can be simulated with 6 different suppliers. Or a construction model will not necessarily have to have 10.000 Elements. It is sufficient to define a model with 100 Elements. All the business cases that are important to Tyco should be modeled within this phase. As a result, the processes and data definition is created for the full migration run during this phase.

After completing this step, the project team should have a clear picture of an optimal ERP solution. As soon all requirements are known and agreed upon, the requirements for data cleaning and data migration from BaanIV can be defined.

During this phase all processes will be recorded that Tyco will execute in Infor 10 ERP Enterprise resulting in a document that describes how Tyco will use Infor 10 ERP Enterprise in the future.

Based on the previous phase it will become clear how the data will look like at the final migration. Hence, the process definition and the data definition are the requirements for finalizing the easybaan® migration.  If needed, a chapter can be added to take care of the data before migrating the data to Infor 10 ERP Enterprise.

Configuring easybaan® migration

Depending on the prior phases, the easybaan® migration will be changed to be compatible with the Tyco requirements. Improvements of the business processes and the data can be included in the migration process and they have to be implemented in the easybaan® migration (next phase). In this phase, organizational changes, data cleaning and reorganization will be handled if needed.

This phase covers the final migration of the Baan IV data to Infor 10 ERP Enterprise. In the previous project stages, the pre-requisites of a successful migration should have been set. Integrity checks and validation of the processes take place during the migration iterations until the data is transferred completely. Once the migration has been completed, the solution is handed over to Tyco to be checked if it meets the cutomers requirements.

All issues that come up while testing are entered in a Delta list. These issues trigger improvements in the easybaan migration tools and these improvements will be available after the next migration run.

Implementation Consulting

Implementation Consulting

Now that the complete data set has been delivered to Tyco, the team of key users can execute all business processes in Infor 10 ERP Enterprise and make sure all processes are validated.

This phase of the project will bring the new Infor 10 ERP Enterprise solution to the users and so training of the end users will take place.

At the same time there will still be the possibility to modify some of the processes. Issues that come up are then not data migration related.

Go Live support

Go Live support

During the Go Live period all issues will be handled that come up to support the users. This will be for application and data related issues.
